Follow-Up Email Template

Most replies come from the follow-up, not the first email — but only if it adds something instead of just 'bumping' the thread. This template references your last message, gives the reader a new reason to respond, and makes replying effortless. Includes the timing that works best.

One more idea, then I'll leave it.

Reference the last email

Hi {{first_name}} — circling back on my note from last week about cutting new-hire ramp time.

Add value (don't just bump)

Since then we published a 1-page onboarding checklist {{similar_company}} used — happy to send it over, no strings attached.

Make the ask easy

Is this worth a quick look, or should I close the loop? A one-word reply is fine.

Footer

{{your_company}}, {{address}} · Just say 'stop' and I won't email again.

How to fill in each field

Subject line

Keep the original subject with 'Re:' so it threads, or write a short fresh angle.

Common mistake: 'Just following up' as the subject — it signals no new value and gets ignored.

Reference the last email

Briefly remind them what you sent and when, so they have context.

Common mistake: Assuming they remember; most didn't read the first email closely.

Add value

Give a new reason to reply — a resource, a result, a relevant update.

Common mistake: Only 'bumping' the thread ('any thoughts?') with nothing new.

Make the ask easy

Offer a low-effort reply (yes/no, one word) and a graceful exit.

Common mistake: Re-pitching the whole thing or guilt-tripping ('I've emailed twice now').

Timing

Wait 2–4 business days between follow-ups; 2–3 total is usually enough.

Common mistake: Following up next day, or 6+ times — both damage your reputation.

Frequently asked questions

How do you politely follow up on an email after no response?+

Reference your previous email briefly, add a new piece of value rather than just asking again, make the reply effortless (a yes/no is fine), and offer a graceful way to opt out. Keep it short.

How long should I wait to follow up?+

Two to four business days after the previous email. Send two to three follow-ups spaced out; beyond that, returns drop and you risk annoying the recipient.

How many follow-up emails should I send?+

Usually two to three, each adding something new. If there's still no response, send a short 'breakup' email closing the loop and move on.
