How to fill in each field

Invoice number

Use a sequential, unique ID like INV-0007. Never reuse a number.

Common mistake: Duplicated or missing numbers make reconciliation impossible and can delay payment approval.

Issue & due date

State both dates and spell out the terms (e.g. Net 30) so the due date is unambiguous.

Common mistake: Writing only 'Due on receipt' with no calendar date — clients default to their own 30-day cycle.

Line items

One deliverable per row with quantity and unit price. Keep descriptions specific.

Common mistake: Lumping everything into a single 'Services rendered' line — this is the #1 trigger for payment queries.

Tax line

Show the tax rate and amount separately from the subtotal, then the grand total.

Common mistake: Baking tax into unit prices, which fails most B2B expense-audit rules.

Payment details

Include bank/ACH details or a pay link, and accepted methods.

Common mistake: Forgetting remittance instructions, forcing the client to email you before they can pay.

Frequently asked questions

Do I need to charge tax on an invoice?+

It depends on your jurisdiction and whether the sale is taxable. When tax applies, always show the rate and amount on a separate line rather than folding it into your prices.

What is the difference between an invoice and a receipt?+

An invoice requests payment before it is made; a receipt confirms payment after it has been received. Many businesses send both.

How do I number my invoices?+

Use a simple sequential scheme such as INV-0001, INV-0002. Some businesses prefix the year (2026-001). The only rule is that every number is unique.

Can I edit this invoice template for free?+

Yes. Download the Word (.docx) or Excel (.xlsx) file and edit it in any office suite, or copy the table straight into Google Docs or Sheets.

Is there a Word, PDF or Google Sheets version?+

Yes. Download the Word (.docx) or Excel (.xlsx) file above, copy the table into Google Docs or Sheets, or use 'Save as PDF' to send a locked copy. These are the formats people search for most.

What is a red flag on an invoice?+

Common red flags that trigger an accounts-payable review are duplicate or out-of-sequence invoice numbers, vague single-line descriptions, round-number totals with no breakdown, and last-minute changes to bank or remittance details. Itemizing clearly and keeping numbers sequential avoids them.
