How to fill in each field
Invoice number
Use a sequential, unique ID like INV-0007. Never reuse a number.
Common mistake: Duplicated or missing numbers make reconciliation impossible and can delay payment approval.
Issue & due date
State both dates and spell out the terms (e.g. Net 30) so the due date is unambiguous.
Common mistake: Writing only 'Due on receipt' with no calendar date — clients default to their own 30-day cycle.
Line items
One deliverable per row with quantity and unit price. Keep descriptions specific.
Common mistake: Lumping everything into a single 'Services rendered' line — this is the #1 trigger for payment queries.
Tax line
Show the tax rate and amount separately from the subtotal, then the grand total.
