A receipt is proof that payment was made — the record your customer keeps for expenses, warranties or taxes. This template confirms what was paid for, how much, by what method and when, with a receipt number for your records. Unlike an invoice, it's issued after payment, not before.

How to fill in each field

Amount paid & method

State the exact amount received and how it was paid (card, cash, transfer).

Common mistake: Leaving off the payment method, weakening the receipt as proof.

Date paid

Record the date payment was received — the key date on a receipt.

Common mistake: Using the invoice date instead of the actual payment date.

Receipt number

Give each receipt a unique number for your bookkeeping.

Common mistake: No number, making reconciliation and refunds hard to trace.

Paid-in-full / balance

Mark whether it's paid in full or a part payment with the remaining balance.

Common mistake: Not indicating partial payments, so the outstanding balance is unclear.
