Ecommerce Invoice Template

Online sellers need an invoice that mirrors the order exactly — SKUs, quantities, shipping, discount codes and tax — often for B2B/wholesale buyers or customers who request one. This template captures the order number and every line an ecommerce buyer or their accountant expects to reconcile against the store.

How to fill in each field

Order & SKU reference

Include the store order number and per-line SKUs so it reconciles to the store.

Common mistake: No order number, making it impossible to match to the store record.

Discounts

Show discount codes as their own negative line, not baked into unit prices.

Common mistake: Silently lowering prices, so buyers can't see the promo applied.

Shipping & tax

List shipping and sales tax separately; tax rules vary by destination.

Common mistake: Rolling shipping into item prices or mis-charging destination tax.

Payment status

State it was paid and the method, since ecommerce invoices are usually post-payment.

Common mistake: Sending an unpaid-looking invoice for an order already charged.

Frequently asked questions

What needs to be on an ecommerce invoice?+

Your store and the customer, the order and invoice numbers, itemized products with SKUs, any discount as a separate line, shipping, sales tax by destination, and the total with payment status.

Do online stores need to send invoices?+

Many orders just get a receipt/confirmation, but B2B and wholesale buyers, and customers claiming expenses, often request a formal invoice. Having a template ready makes those requests quick.

How is sales tax handled on ecommerce invoices?+

Sales tax is usually based on the shipping destination and your nexus. Show it as a separate line; your store or tax tool should calculate the correct rate per order.
