How to fill in each field

Billable hours

Log hours per task to one decimal. Round consistently (e.g. nearest 15 min).

Common mistake: A single 'Design work — 40 hrs' line invites scope disputes. Break it down.

Rate

State your hourly rate on each hourly line; mark fixed-fee work clearly.

Common mistake: Mixing hourly and fixed items without labeling which is which.

Deposit / retainer

Subtract any deposit already paid as a negative line before the balance due.

Common mistake: Forgetting the deposit and over-billing — an instant trust hit with clients.

Payment terms

Freelancers should use short terms (Net 7–14) and state late fees up front.

Common mistake: Defaulting to Net 30 and then waiting two months to get paid.
