Marketing Agency Invoice Template

Agencies bill a messy mix: a monthly retainer, project work, hours over the cap, and pass-through ad spend or licenses. This template separates every type so clients see exactly what's agency fee versus what's reimbursable media — the split that keeps agency invoices from getting queried.

How to fill in each field

Retainer vs overflow

Bill the flat retainer as one line, then any hours over the cap separately at your rate.

Common mistake: Absorbing overflow into the retainer and quietly under-billing the agency.

Pass-through ad spend

Show managed media/ad spend as a clearly labeled pass-through line, separate from fees.

Common mistake: Blending ad spend with fees, so the client can't reconcile their media budget.

Markups & licenses

Disclose any markup on media or bill licenses at cost per your agreement.

Common mistake: Undisclosed markups — a fast way to lose an agency client's trust.

Tax base

Apply tax to the taxable services, not to pass-through reimbursements (rules vary).

Common mistake: Taxing pass-through ad spend, which inflates the bill incorrectly.

Frequently asked questions

What should a marketing agency invoice include?+

The agency and client, billing period, the retainer, any overflow hours, pass-through costs like ad spend and licenses shown separately, tax on the taxable fees, and the total due with terms.

How do agencies bill for ad spend?+

Show managed ad spend as a distinct pass-through line (often billed at cost, sometimes with a disclosed management fee or markup). Keeping it separate from your agency fees prevents disputes.

Retainer or hourly for agency work?+

Many agencies use a monthly retainer for baseline scope and bill overflow work hourly. State both clearly so clients understand what the retainer covers.
