Delivery Note Template

A delivery note travels with the goods and proves what was actually delivered — quantities ordered versus delivered, with a signature on receipt. It carries no prices (that's the invoice's job); its purpose is an accurate record both sides sign. This template captures exactly that.

How to fill in each field

Ordered vs delivered

Show quantity ordered and quantity delivered per line to flag shortfalls.

Common mistake: Only listing delivered quantities, hiding backorders/discrepancies.

Order / PO reference

Reference the order or PO so the delivery matches the paperwork.

Common mistake: No PO reference, making three-way matching impossible.

No prices

Keep prices off the delivery note; it records goods, not charges.

Common mistake: Putting prices on it and confusing it with the invoice.

Signature on receipt

Include a signature/date line so the receiver acknowledges what arrived.

Common mistake: No sign-off, so disputes over what was delivered can't be resolved.

Frequently asked questions

What should a delivery note include?+

The supplier and recipient, a delivery note number, the order/PO reference, the delivery date, items with quantities ordered and delivered, notes on any discrepancies, and a signature line.

What is the difference between a delivery note and an invoice?+

A delivery note lists the goods physically delivered and is signed on receipt; it has no prices. An invoice requests payment and includes prices and tax. They reference the same order.

Is a delivery note the same as a packing slip?+

They're closely related. A packing slip details what's inside a package; a delivery note is the record signed on delivery. Some businesses use one document for both.
